Spa operations

The whole spa floor,
run without chaos.

Only genuinely free slots go on sale. Reminders send themselves. A cancellation refills from the waitlist. Every morning, your team already knows its day.

The operator's day

Your day on one screen.

Day, week, and list views switch in one click, beside a live view of the floor — who is in which room, mid-treatment, about to start, or running over.

Phone and walk-in bookings go in through a staff wizard, and auto-assignment proposes the therapist who keeps the day tightly packed.

When reality changes, the calendar changes with it. A therapist calls in sick at 8am? Drag her bookings across to a colleague. Need paper for the treatment rooms? The day's agenda prints to PDF.

Handovers take seconds, and nothing falls through the cracks between shifts.

The same calendar sells online, so guests book and prepay themselves at any hour. See the guest side

  • Day, week, list — and live. The floor as it is right now, not as it was planned this morning.
  • Staff booking wizard. Phone bookings enter with the same checks as online ones.
  • Drag-and-drop reassignment. Every move is validated before it lands on the calendar.
  • Manual override. Auto-assignment is a default, never a cage — you always have the last word.
The engine underneath

A schedule that is always real.

Floor chaos is rarely a people problem — it's booking software letting an impossible day through.

AURI checks that the therapist, the room, and the equipment are all genuinely free before anything is written — however the booking enters or moves: online, through the staff wizard, or dragged across the calendar.

How AURI books a slot
The back office

The admin runs itself.

The follow-up work that used to fill the front desk's afternoon happens on its own.

Reminders on a three-layer cadence.

Email at 48 hours, email at 24 hours, SMS at 2 hours. That default cadence is tunable per property and built in, not bolted on. Industry data puts a cadence like this at no-shows falling from around 25% to 8–12% (Zenoti / HSMAI). That's a benchmark for what reminders do, not a result AURI has measured for you.

The 7:00 morning brief.

Every day at 7:00, or the hour you set, each staff member is emailed their own schedule. The floor starts aligned — no huddle, no printed sheet gone missing.

Self-service cancellation.

Guests cancel through a secure link — no login, no call to the desk. It works up to the deadline you set, 24 hours by default. Plans change at 11pm; your phone doesn't have to ring.

Waitlist auto-backfill.

When the slot a guest wants is full, they join its waitlist automatically. The moment a cancellation frees it, the next guest in the queue is notified. An empty room becomes a rebook before the desk has noticed.

Numbers that stay honest.

A booking that never arrives ends the day marked as a no-show. Utilization and no-show rates stay true, and no one back-fills a spreadsheet on Friday. The full KPI set

The difference

A Saturday shift, before and after.

Same team, same fully booked Saturday — only the system underneath is different.

Before · 7:55am

The schedule is a guess.

The duty manager is at the printer, and the sheet is out of date before it's pinned up. One therapist thinks she's off. Another is double-booked on the hydro suite at 2pm and doesn't know it. Nobody notices until 1:50, when two guests are waiting and one has to be told no.

A 10am books by phone, lands in the wrong column, and never shows. The slot still reads "confirmed" all day, so Monday's numbers are a fiction. A noon cancellation leaves an empty room, and the three guests who would have taken it are never called.

After · 7:55am

The schedule is the truth.

The duty manager has already read her day; the 7:00 email landed before anyone clocked in. The 2pm hydro clash never existed — AURI never offered the slot when the second guest tried to book it.

The 10am phone booking went in through the staff wizard — same checks, no wrong column. The guest still doesn't show, but the day ends with the no-show marked, so Monday's numbers are true. The noon cancellation pings the waitlist. The next guest takes the slot, and the room turns over instead of going dark.

Nothing about the team changed. The system stopped letting the day go wrong.

FAQ

Questions about how it runs.

Does AURI prevent double-bookings?

Yes — by construction. Before any slot is offered or written, the engine checks that the therapist, the room, and the equipment are all genuinely free. The full mechanism lives on the engine page.

Can guests cancel without calling the desk?

Yes. Every confirmation carries a secure cancellation link — no login, no account — good up to the deadline you set, 24 hours by default. When the cancellation lands, the waitlist refills the slot automatically.

Which channels do reminders use?

Email and SMS, on the 48-hour / 24-hour / 2-hour default cadence, tunable per property — both built in, not an add-on. The daily 7:00 staff schedule also goes out by email. WhatsApp is on the roadmap; we don't sell it as shipped.

Can a manager override the auto-assignment?

Always. Auto-assignment is a default, not a constraint — pick a different therapist, change the room, or move the booking, and the engine validates the change before it lands. Even a manual move can't write an impossible booking.

How do guests pay?

Online when they book, charged to their room, or at reception. Charge-to-room posts to the guest's folio through your PMS — the connector details live on the integrations page.
